Activ8 Dance4Dayz
1. Booking & Payments
- All bookings must be made through the Class4Kids booking system.
- Payment for trial sessions, holiday clubs, camps, and one-off bookings must be made in full at the time of booking.
- Monthly subscription payments are collected automatically each month via the payment method provided at registration.
- Places are only secured once payment has been successfully received or an active subscription is in place.
- Activ8 Dance4Dayz reserves the right to refuse, suspend, or cancel bookings where payment has not been made or subscription payments fail.
2. Trial Class Policy
- Trial sessions are subject to availability and must be booked in advance.
- One trial session per child, per class, is permitted unless agreed otherwise.
- Trial session fees are non-refundable.
- Following a trial session, places cannot be guaranteed until a full booking or subscription has been completed.
- Activ8 Dance4Dayz reserves the right to withdraw trial availability at any time.
3. Monthly Subscription Policy
- Monthly class memberships/subscriptions are processed through Class4Kids.
- Subscription payments are collected automatically each month using the payment method provided at registration.
- Subscription fees secure your child’s ongoing place within their chosen class(es).
- Payments continue each month until cancellation is requested by the parent/carer.
- A minimum notice period of 14 days before the next billing date is required to cancel a subscription.
- Missed classes due to holidays, sickness, or personal commitments are not refundable and cannot usually be carried forward.
- If a payment fails, Activ8 Dance4Dayz reserves the right to suspend attendance until the account is brought up to date.
- Activ8 Dance4Dayz reserves the right to review and amend subscription prices, giving reasonable notice to parents/carers.
4. Cancellations & Refunds
- Refunds will not normally be given for missed classes, holidays, sickness, injury, or changes in personal circumstances.
- If a session is cancelled by Activ8 Dance4Dayz, an alternative class, credit, or refund may be offered at our discretion.
- Holiday club bookings must be cancelled with a minimum of 7 days’ notice prior to the first booked day in order to receive a refund or credit.
- No refunds, credits, or transfers will be given for non-attendance at holiday clubs, including absence due to sickness, holidays, or other personal circumstances.
- Camps, workshops, and special events may have separate cancellation policies which will be stated at the time of booking.
5. Medical Information
- Parents/carers must provide accurate medical, behavioural, allergy, and emergency contact information during registration.
- Any changes to medical or contact details must be updated promptly through your Class4Kids account.
- Children who are unwell or have an infectious illness should not attend sessions.
6. Collection of Children & Late Collection Fees
- Parents/carers are responsible for collecting children promptly at the end of each session.
- Children will only be released to authorised adults named on the booking form unless prior arrangements have been made.
- A late collection fee may be charged where children are collected more than 10 minutes after the scheduled finish time.
- The fee will be charged at £10 for the first 15 minutes and £5 for every additional 15 minutes thereafter.
- Persistent late collection may result in the withdrawal of a child’s place.
7. Behaviour
- All participants and parents/carers are expected to behave respectfully towards staff, volunteers, and other attendees.
- Bullying, abusive language, aggressive behaviour, or disruptive conduct will not be tolerated.
- Activ8 Dance4Dayz reserves the right to refuse attendance or remove participants where behaviour is deemed unsafe or inappropriate.
8. Photography & Video
- Photographs and videos may occasionally be taken during sessions for promotional, training, or social media purposes.
- Consent preferences can be managed through your Class4Kids account.
- No child’s personal details will be published alongside images without additional consent.
9. Health & Safety
- Dance and physical activity involve some risk of injury, and participation is undertaken at the parent/carer’s own risk.
- Activ8 Dance4Dayz maintains appropriate insurance, safeguarding procedures, and qualified staff certifications.
- Parents/carers should ensure children attend sessions wearing suitable clothing and footwear.
10. Personal Belongings
- Activ8 Dance4Dayz cannot accept responsibility for lost, stolen, or damaged belongings brought to sessions.
11. Changes to Classes
- Activ8 Dance4Dayz reserves the right to amend class times, venues, instructors, or programme content where necessary.
- In exceptional circumstances beyond our control, including severe weather, venue issues, or staff illness, sessions may be cancelled without liability.
12. Data Protection
- Personal data is stored securely and processed in accordance with UK GDPR legislation.
- Information provided will only be used for administration, safeguarding, emergency contact, and communication purposes.
13. Agreement
- By booking through Class4Kids, you confirm that you have read, understood, and agreed to these Terms & Conditions.
